REFUND POLICY 2026


JCW FOUNDATION REFUND POLICY (2026)


JCW Foundation, Inc. requires all participants and potential registrants to fully understand, acknowledge, and agree to this Refund Policy prior to registering his/her child.


1. Overscheduling / Commitment Requirements
No refunds will be issued due to overscheduling of the participant or his/her child.
All JCW Foundation, Inc. programs require a minimum commitment of 2 hours per week (not including game arrival time), which includes game day (Saturday or Sunday) and one practice day during the week. Participants who are unwilling or unable to make this commitment will not receive a refund.

2. Team Placement / Coach Requests
JCW Foundation, Inc. discourages participants from registering with the condition of specific team placement, coach assignment, or placement with specific teammates, including siblings.
If participants are not assigned to a requested team, coach, or teammates—no refund will be given.

3. Code of Conduct Violations
No refunds will be issued if a participant’s season is terminated or suspended due to violation of the Parent Code of Conduct or Player Code of Conduct.

4. Merchandise Purchases
No refunds will be issued for merchandise purchased at the time of registration or during the season.
If merchandise purchased at registration is defective, please contact JCW Foundation, Inc. for assistance.

5. Illness or Emergency
No refunds will be issued for illness or emergency.
In cases of serious illness or emergency occurring after the refund period ends but before the first game, and if the participant will miss the entire season, a written doctor’s statement must be provided for JCW Foundation, Inc. to consider a future credit (minus uniform cost and any purchased equipment).
All credit requests are reviewed at the sole discretion of JCW Foundation, Inc.

6. Jersey Exchanges
Please carefully measure and select the correct jersey size.
For exchanges not due to errors or defects, shipping and associated fees will apply.
Custom jerseys with names are non-refundable and non-exchangeable. A new jersey must be purchased if changes are needed.

Participant Refund Request Process
Refund requests will only be considered if submitted in writing to [email protected] no later than the first day after regular registration ends.  Refunds are not available during any late registration phase.  No refunds will be issued after the first day following the close of regular registration.

Refund Details
Refund requests must be received no later than the first day after regular registration ends.  
(This does not include refunds issued by JCW Foundation, Inc. for program issues beyond our control.)  
Processing fees and donations are non-refundable.
Approved refunds will include the division price minus any discounts and a $15 administrative fee.
Refunds will be issued to the original form of payment. If that is unavailable, a manual check may be issued to the primary parent/guardian at the address on file.

By registering your child to participate in JCW Foundation, Inc. programs, you acknowledge that participation in youth sports involves inherent risks of injury and potential exposure to illness. While JCW Foundation, Inc. takes reasonable precautions to promote safety, these risks cannot be completely eliminated.

By completing registration, you:

  • Voluntarily assume all risks associated with participation

  • Release, waive, and hold harmless JCW Foundation, Inc., its staff, coaches, volunteers, sponsors, and partners from liability or claims arising from ordinary participation

  • Confirm your child is healthy and able to safely participate

  • Grant permission for your child to take part in league activities, practices, games, and events

  • Acknowledge your responsibility to help your child understand and follow league rules, instructions, sportsmanship expectations, and safe conduct

JCW Foundation, Inc. is committed to providing a safe, positive, and supportive environment for every athlete and family.

 As the parent or legal guardian of the participant named in this registration, I give permission to JCW Foundation, Inc. and its authorized representatives to take any action deemed appropriate to protect the health and well-being of my child during participation in organizational activities. This authorization includes, when necessary, obtaining medical evaluation or treatment from a licensed physician or medical facility, as well as permitting trained personnel or organization representatives to provide first aid or emergency care as needed. I understand that reasonable efforts will be made to contact me in the event of an emergency.

Photographs and videos of participants may be taken during clinics, league games, and other JCW Foundation, Inc. activities or events in which the organization is participating. When images are used, JCW Foundation, Inc. will make reasonable efforts to protect participant identity by not including personal identifying information in printed or digital materials.

I give permission for the participant named in this registration to be photographed and/or recorded during clinics, games, and related events. I further grant JCW Foundation, Inc. and its authorized representatives the right to use, reproduce, publish, and display these images or recordings—without prior notice or review—for purposes including, but not limited to, program promotion, marketing, social media, and public relations.

I understand that the participant’s image may be used without compensation to me or the participant, and I waive any claims arising from the use of such photographs or videos.

Opt-Out Option:
If you do not want your child photographed or recorded for any purpose, please select no.
By selecting no, JCW Foundation, Inc. will make reasonable efforts to exclude your child from photos and videos used in promotional materials.

CODES OF CONDUCT FOR PARENTS

As a parent or guardian of a JCW Foundation, Inc. participant, you play a vital role in your child’s development and in supporting their teammates. Your encouragement, guidance, and example have a greater impact on sportsmanship and self-discipline than any other influence.

These guidelines are built around three core principles:

  1. Supporting Your Child

  2. Setting a Good Example

  3. Promoting a Safe Environment

1. Supporting Your Child

  • Provide positive encouragement at all JCW Foundation, Inc. activities, whether at home, on the road, at practices, or during games.

  • Constructive criticism is welcome but never belittle or tear down the youth.

  • Encourage your child to follow the rules and avoid behaviors such as cheap shots, unsportsmanlike acts, or any actions that could harm other players or result in ejection.

  • Explain and reinforce our zero-tolerance policy for fighting. Fighting may result in suspension from a game or the season.

2. Setting a Good Example

  • Be a positive role model for your child and others.

  • Refrain from the use of drugs, tobacco, and alcohol at any JCW Foundation, Inc. activity.

  • Avoid derogatory, offensive, or bullying comments directed at players, coaches, or officials.

  • Understand that unacceptable parent behavior may result in removal from JCW Foundation, Inc. events.

3. Promoting a Safe Environment

  • Only authorized JCW Foundation, Inc. coaches are permitted on the field during practices and games.

  • Parents are asked to adhere to these codes of conduct to ensure a safe and positive environment for all participants.

Playing for JCW Foundation, Inc. is a privilege, and as a player, I agree to:

  • Respect others – Treat teammates, coaches, officials, and opponents with respect at all times.

  • Play for the love of the game – Compete to improve and enjoy the sport, not solely to please parents or coaches.

  • Be humble and gracious – Celebrate wins with humility and accept losses with grace.

  • Follow the rules – Learn and obey the rules of each sport, and play fairly.

  • Support my team – Give my best effort and work for the good of the team.

  • Respect officials – Accept and respect the decisions of referees, even if I disagree.

  • Show good sportsmanship – Demonstrate respect and fairness before, during, and after games. Opponents are competitors, not enemies.

  • Conduct myself with integrity – Treat others as I would like to be treated.

  • Control my emotions – Manage my temper and avoid retaliation, even if I feel wronged.

  • Stay safe and healthy – Refrain from using or possessing tobacco, alcohol, illegal drugs, or performance-enhancing substances.

JCW Foundation, Inc. asks all players to adhere to this Code of Conduct to help create a safe, positive, and enjoyable experience for everyone involved.
